Guidelines for Submissions of Articles & Illustrations to Artistamp Artifacts

Topics & Writing

Topics should be interesting and illuminate for readers the greater significance and timeliness of a subject. New information, theories, and research should be featured prominently. It is fine to take a stance on controversial issues, but opposing arguments should be aired.

Specific ideas for topics may be posted here from time-to-time, for upcoming newsletter editions. You may want to reference this web site often to ascertain whether or not any topics have been posted that you would like to contribute to.

Writing should be lively and geared toward a general audience. Scientific and technical terms should be kept to a minimum or clearly defined. Paint a vivid picture of your subject whenever possible; flesh out the personality of an artist, illustrate the beauty of a landscape, or bring a historic event to life -- verbally. Length of your article(s) should be no more than one (1) typewritten page. Brief articles, considered as 250 to 400 words in length are perfect.

Digital submissions are encouraged. You may send us your article for the newsletter in the body of an email, as a text file (Notepad, Wordpad, or similar file format so long as it is saved with a ".TXT" filename extension) or, you may cut and paste your text into this form. Currently, we work strictly with PCs only (not MacIntosh), which limits other file formats to a certain extent. If you can save (export) your file in Rich Text Format (filename extension .RTF), that is acceptable too.

Mailing your article to Artistamp Artifacts is highly encouraged. Your manuscript should be typed as neatly as possible. Double-spacing your lines is appreciated.  Be sure that you have included all of your contact information (name, address, telephone number, email address, etc.) on a separate sheet of paper if you are mailing your submission.

Please package your materials carefully and mark mailings appropriately. We are not responsible for damage that may occur to your materials while in transit. Include a SASE with sufficient postage to return your original materials if you want it returned. If you are sending from outside the US, please enclose International Reply Coupons in lieu of postage stamps. Otherwise, materials sent shall remain in our possession and will be considered as our property.

Articles and illustrations (photos, stamps, etc.) to be included with your article should be mailed to: ARTISTAMP ARTIFACTS; The Olathe Poste; P. O. Box 707; Olathe, Colorado 81425 USA.

Your Photos

Photo submissions in the form of original color transparencies or reproduction-quality duplicates are preferred. 35-mm slides should be mounted in flexible sleeves and be protected with individual slide protectors. The cardboard mount of each transparency should be clearly marked with the photographer’s name and address. Photo identification and caption information should be listed on a separate sheet. All submissions should include a stamped, self-addressed envelope, return mailing instructions, and sufficient postage to cover safe return. We recommend that all photographers ensure their images against loss and that Return Receipt Mail or next day courier be used to send original and/or duplicate images.

Digital photo submissions may be e-mailed as attachments (low res. jpegs only) with the words "for approval" in the subject line of your email. Do not e-mail high resolution images unless prior permission has been obtained. You may prefer to send us a link to your photos for consideration that can be viewed on your web site or, you may also mail your digital photos on a CD (formatted for PC, not Apple MacIntosh).

Once approved, digital images must be high resolution (minimum 300 dpi at 3 x 3 inches or larger for 1/4 page) to be considered for publication. As above, all images should be accompanied by accurate caption material including scientific names of plants and animal species, for example, in a separate text document.

File Transfer Protocol (FTP) is the quickest way to send digital image files. Please send us an email requesting access to our FTP upload area, once approved. Required access information will be provided to you then.

Permission to publish. It is your responsibility to have model releases on file for all human subjects. We may need you to provide copies or affidavits attesting to your possession of valid model releases.

Realizing that not everyone may have all the latest technology capabilities and, that we do not want to discourage anyone from actively sharing their work. Please know that we will work with you and your photographs as much as we possibly can. The guidelines set forth above not only ensure that we are able to reproduce your work(s) as well as possible. But this also gives you valuable experience for meeting requirements set forth by other publications that you may wish to pursue in the future.

Your Stamps

There are two considerations regarding stamps to be published in Artistamp Artifacts. First, as a writer using a few, various stamps to illustrate an article. Or secondly, as a contributing stamp artist who believes that their stamps are of high enough quality or of other merit to be documented in the annals of history. The writer submitting an article will undoubtedly, through use of creative title, article text or, by communication in a cover letter accompanying the work, not be required to submit any stamps.

However, if you are a stamp artist submitting stamps for consideration in Artistamp Artifacts, you should include a minimum of 50 identical stamps. The stamps themselves may be included with the distribution of current issues in which your stamp is used. It should go without saying that these must be stamps that you have created. Do not send the works of others.

If you cannot send 50 or more identical stamps, please tell us why in your accompanying text. (We may not have the time to figure it out for ourselves.)

Contributing stamp artists must remember that Artistamp Artifacts is directed to other artists, from beginner to journeyman. As well as towards collectors of philatelic items. Information about you and your particular stamp being submitted should be detailed in your accompanying submission letter.  Make your "story" lively and interesting.

Illustrations

Include illustrations whenever possible: stamps, covers, postmarks, or whatever other visual material supports your text. While brief, news-like blurbs, letters to the editor, or similar writings don't require visual support. Good articles become great articles when interesting visual support is included.

We do not have the time, nor the resources, to provide illustrations for you. So please don't expect us to.

Along with your illustrations, we do expect you to provide captions. Please provide captions on a seperate sheet of paper. Don't embed them in your manuscript. The ideal caption explains what the picture shows and makes the reader want to read the accompanying text. Any caption, at very least, should explain what is in the picture.

Deadlines

Deadlines for submitting your articles, photo essays, or stand-alone submissions is the 1st day of the month preceeding the month of publication. Items submitted may be held for publication at a later date, depending on available space or timeliness of the subject. Short tidbits of information about members of the artistamp or collecting communities to be included in our "Briefly..." column may be submitted no-later-than the 10th day of the month preceeding publication.
